If you would prefer to import multiple learners at once rather than manually creating each individual learner, we recommend following the steps below. However, this ability is only available to Client Admin accounts. 

1. Log in to your Cognassist account, navigate the ‘Learners’ menu and click on ‘Import New Learners’.

2. Download the Bulk Import template by clicking on ‘Download user template’. Please do this the first time you use this page to get the up-to-date version for importing and then save the template for future use.

3. Please complete the template with all the learner’s details as detailed below.

  • First Name 
  • Last Name 
  • Gender (Female, Male or leave blank) 
  • Date of Birth (DD/MM/YYYY or DD/MM/YY) with a minimum age of 15 years old. 
  • Email Address – Please ensure it is correctas we’ll send their assessment invite there 
  • Postcode 
  • Client Reference (This is your unique reference for identifying your learner and should not contain any personal identifying information). 
  • Tutor Email Address (this should be the email of a tutor that already exists in Cognassist) 
  • The Mobile Number and Programme Type fields are optional and do not have to be filled out. 

 

4. Once the template is completed, make sure the example row is deleted and there are no additional spaces, commas or semi colons.

After you are happy with the completed spreadsheet, save it as a .csv file (comma delimited). 

5. Open your window which is still on your Cognassist account and on the Import New Learner page, click on ‘Select file to upload’.

6. Using your file browser locate your completed .csv file on your computer. When your file is ready to upload, you will be able to click on ‘Import users’.

Your file will be uploaded, and you will be shown the Learner import history table. 

7. If there are any issues with your learner import file, you will be able to download the rejected rows. To do this, click on the ‘Download rejected’ button.  This will be downloaded as LearnersErrored .csv file.

Open the LearnersErrored csv file and the reason for failure will be listed.  Other than a duplicated learner, you should be able to update the relevant field in the LearnersErrored file.  Once updated, save the file and re-upload the LearnersErrored file by repeating the above steps.
